Setting maintenance expectations with owners and tenants can be a very difficult job for a property manager. For starters, the tenants are usually unhappy because when maintenance is required it means that something is broken and needs to be fixed. Property owners are not always forthcoming in their willingness to pay for necessary repairs. Sometimes, they don’t understand why something that seems so small can cost so much money. As property managers, we find ourselves in the middle of these two parties and we’re required to act as mediators.
When you contact us at Property Management Systems for help with maintenance, our goal is to ensure you always speak with a live person. During business hours, we answer the phone ourselves and after hours, we have an answering service fielding calls from our emergency number. If there is truly an emergency at your property, you’ll hear back from someone from our office right away.
Regular maintenance requests are made using a specific form. We provide these forms to all our tenants and they can also be downloaded from our website. We have tenant portals where tenants can log in and fill out maintenance requests any time repairs are needed. Those requests are answered in the order they are received, unless there is an emergency that requires immediate attention.
The length of time it takes for some repairs to be completed can be frustrating to both tenants and owners. We make sure that we are communicating with you on a regular basis while things are taken care of and we also make sure that everyone is aware of the expected and required deadlines for the work to be complete.
If you have any questions about maintenance and how to handle repairs, please visit our Property Management Systems website, and we’d be happy to tell you more.
